Under the supervision of the Director, Donor Services and Clinical Manager, Donor Services - Tissue, or appropriate designee, the Supervisor, DSC - Tissue, guides the Tissue Donation Coordinators team towards accomplishing Infinite Legacy’s mission and goals by providing daily oversight of the communication center’s operations and related tissue activities. Serves as the clinical expert for donor suitability, processor criteria/training, and tissue screening/allocation for the organization.
This position requires working a schedule based on business and shift needs. Will require working minimum of 4 shifts a month and may work additional shifts to support departmental needs. May require weekends, holidays and overnight hours.
Education and Experience:
Bachelor’s degree from an accredited college or university in the field of biology, allied health, or communications preferred.
Experience as a Tissue Donation Coordinator, with demonstrated proficiency. Relevant OPO or Tissue Banking experience may be substituted.
Supervisory Responsibilities:
At the request of Human Resources, participates in the screening and hiring process of new employees.
In conjunction with the Director, is responsible for maintaining and updating the departmental performance management board and reporting these departmental projects/goals on a routine schedule as defined by organizational leadership.
Assists the Director with verifying payroll for signoff on a bi-weekly basis per departmental protocol.
Approves paid time-off (PTO) for full-time staff per departmental protocol while maintaining adequate staffing to meet clinical activity.
Duties/Responsibilities:
Ensures DSC shifts are adequately staffed and run appropriately. Assists with tissue activity, overflow calls and other needs on high volume shifts or during staffing challenges or training opportunities.
Performs proactive, real-time review of cases to ensure team is meeting or exceeding case management and customer service expectations.
Supports staff by assisting with evaluating medical suitability of potential tissue donors utilizing information from medical records, laboratory and diagnostic tests, medical and social history provided by the legal next of kin, and physical examinations. May interact with hospital personnel, medical examiner, community partners and funeral home staff to obtain this information.
Maintains access for all available Electronic Medical Records. Serves as subject matter expert in EMR’s.
Assists with onboarding and training of new Tissue Donation Coordinators, participates in talent and share days, and the orientation planning process.
Assists with data collection for research projectsand any department or organizational projects, as requested.
Coordinates and oversees the required follow-up documentation procedures on all referral and donor records.
Implements audits, assists with chart quality assurance (QA), review and follow up for non-conformances.
Acts as a coach, mentor and role model for all DSC and IL employees. Participates in performance planning, employee development, trainings, simulations, and evaluation.
Serves as a resource to staff in the center for both clinical knowledge and logistic problem solving. In collaboration with Education department, serves as a faculty member for Donation University and a subject matter expert for creation/updating of e-modules and training.
At the discretion of department leadership, may have flexible schedule in order to attend trainings, meetings and planning departmental education.
Responsible for coordinating TDC representation at all organizational trainings and meetings, , and any additional meetings as assigned. Responsible for communicating information learned in these meetings and training sessions to the remaining TDC staff.
Assists with external client support and education; cultivates relationships with all outside partners. Provides feedback and follow up to team members, as needed.
Demonstrates a focus on solution-based leadership by identifying, resolving, and implementing positive change in DSC. Proactively identifies new technologies to enhance customer service.
Serve as on-call supervisor for department staffing to ensure adequate staffing on each shift.
All other duties as assigned.
Required Skills/Abilities:
Must maintain certification, or obtain certification within two years of assuming role, of CTBS.
Ability to function as a leader within the department.
Demonstrated ability to consistently uphold and exemplify IL core values.
Demonstrated flexibility with scheduling, allocating time between administrative shifts and working in the numbers, as needed.
